This is a nonexempt position, reporting to the Accounting Supervisor, and is located in the Firm’s downtown Oakland office. ABOUT THE POSITION

The Accounting team at Meyers Nave partners with firm leadership and staff to ensure efficient operational execution of all accounting processes, in service of the firm’s financial and strategic goals. The Payroll and Accounts Payable Coordinator will collaborate with the Director of Finance and other team members in processing and performing payroll and accounts payable functions. The successful candidate will be committed to quality, customer service, and teamwork, and be able to maintain composure and produce accurate work product in a fast-paced environment.

This position will be based in Meyers Nave’s offices in downtown Oakland, CA. We initially expect this role to be based 100% onsite for approximately six months, to facilitate learning and collaboration with existing members of the Finance team. After this initial period, the position can transition to a hybrid schedule, with at least three days in office each week.

RESPONSIBILITIES

Payroll:

  • Process semimonthly payroll to ensure pay is accurately calculated and proper deductions are made.
  • Prepare and verify statements of earnings for employees, indicating gross and net salaries and deductions such as taxes, SDI, garnishments and other third party wage assignments. Maintains open communication with Human Resources.
  • Process employee timecards, ensuring information is accurate and complete. Review paid time off accruals.
  • Promptly and accurately capture changes to employee status that affect tax withholdings, benefit deductions, and time off accruals. Review benefit deductions for accuracy on a monthly basis.
  • Maintain confidentiality regarding employee compensation, and when collaborating with HR on confidential matters pertaining to employees departures or status changes.

Accounts Payable:

  • Process accounts payable daily. Reviews and pay vendor invoices, setting up new vendors as necessary.
  • Review and reconcile monthly expense reports and credit card statements from all attorneys and staff. Audit expenses in compliance with firm policies.
  • Draw checks for payments to vendors and obtain signatures. Provides trust checks as needed.
  • Remain calm and focused during month end or annual deadlines while producing accurate work product.
  • Other duties as assigned.

QUALIFICATIONS

  • A four-year degree preferred from an accredited university or college or equivalent work experience.
  • Three (3) or more years of progressively responsible work experience in both areas of payroll and accounts payable (experience in a law firm or professional services firm is preferred).
  • Experience with SurePoint preferred.
  • Demonstrated ability to maintain high ethical standards and strict confidentiality when reviewing or processing sensitive information.
  • Demonstrated ability to maintain and update skills relevant to the position.
  • Demonstrated ability to organize and prioritize numerous tasks and complete them accurately under time constraints.
  • Strong written and verbal communication skills.
  • Interpersonal skills necessary to communicate in person and by phone with a diverse group of attorneys, staff and vendors to provide information and resolve problems with courtesy and tact.

POSITION SUMMARY

Working under the direction of the Director of Business Development and Marketing and with the support of the Department’s Specialist, Coordinator and Assistant, the Manager of Business Development and Marketing supports strategic client development efforts and various marketing initiatives. RESPONSIBILITIES

  • Manage the execution of marketing and business development strategies, plans, projects and branded events.

  • Manage the database of representative experience for use in marketing collateral.
  • Document business development activities for assigned practice groups and attorneys. Assist with the maintenance of activity tracking/reporting and mailing lists in the CRM system.
  • Manage relationships with vendors.
  • Performs other duties as assigned and provide back-up to fellow members of the Business Development & Marketing team when necessary.

JOB SUMMARY

The Litigation Legal Secretary is responsible for providing administrative support to attorneys on a day-to-day basis, as well as working closely with clients and other team members to ensure effective and timely attention to important legal matters.

This position will support the firm’s Trial & Litigation practice group, with a focus on Eminent Domain cases. Our Eminent Domain practice is well known for handling large transportation and infrastructure projects, including a variety of large scale transit and sports stadium developments; attorneys in this group commonly assist public entities in obtaining the parcels of land needed for these important public projects, and are typically in trial several times a year. ESSENTIAL FUNCTIONS

The position’s essential functions include but are not limited to the following:

  • Draft, review and revise legal and non-legal documents including correspondence and memoranda, pleadings, PowerPoint presentations, budgets, etc.;
  • Format court pleadings according to applicable court rules and generate tables of authorities and tables of contents using Firm software;
  • Creating shell documents for various pleadings needed by attorneys;

  • Answer phones for attorneys/directors, direct incoming phone calls and greet clients and guests;
  • Regular, reliable and punctual on-site attendance;
  • Back up secretaries during planned and unplanned absences;
  • Take direction and apply corrections to future revisions;
  • Partner with attorneys to proactively manage their business development activities;
  • Maintain composure and work efficiently and accurately during highly stressful circumstances;

  • Build relationships with key staff in client offices, including periodically traveling to client sites;

  • Oversees the reporting and funding for third party vendors (i.e. Alliant, Newport Group, BEW, etc.)
  • Engages in special projects including payroll integrations, testing for system upgrades, annual merit and bonus processing, year-end and W-2 processing, company acquisitions, mergers and reductions in workforce.
  • Works with state/national tax authorities to comply with all reporting requirements and ensures Payroll Taxes are paid and reported to the appropriate jurisdictions in a timely manner.
  • Prepare annual insurance renewal applications for all Meyers Nave insurance policies.
  • Support annual budget process including data entry, verification, proofreading and production of all budget materials.

The Legal Billing Specialist will have overall responsibility for performing full-cycle billing functions and will be expected to provide outstanding service to the attorneys assigned to him/her, clients and others in the Firm. The position requires that the individual be committed to quality, customer service, teamwork and be able to perform in a fast-paced environment.

ESSENTIAL FUNCTIONS

The position’s essential functions include but are not limited to:

  • Generate monthly pre-bills and draft bills for attorney review;
  • Make edits and revisions based upon attorney requests and in compliance with client billing guidelines and client contracts;
  • Submit invoices in different e-billing portals with strong understanding of the function of each e-billing portal;
  • Prepare final bills, cover sheets, certification, and ensure the distribution of the bills to the client via regular mail, email or e-bill;
  • Provide supporting copy of expense backup to accompany invoices, including preparing large vendor invoices for disbursements only;
  • Assist teammates on billing during high-peak period, coordinate with accounting department to resolve any billing issues;
  • Maintain and update Client Billing Information Sheets, Budget Tracking Spreadsheet, and update client billing information in accounting system;
  • Accurately respond to Client/Matter billing inquiries in a timely manner;
  • Maintain accurate and up to date matter budgets and matter status reports in compliance with client billing guidelines;
  • Communicate closely with billing attorney and/or client regarding outstanding AR balances; and assist with client collections as needed;
  • Backup daily cash deposit and post cash receipts, scan checks and backup documents;
  • Work cordially, cooperatively, and productively with all firm employees;
  • Attend work on-site on a regular, punctual and reliable schedule;
  • Manage multiple problems and projects at once;
  • Demonstrate excellent customer service;
  • Maintain composure and work efficiently and accurately during high-energy situations involving frequently changing circumstances;
  • Work extended hours as needed; and
  • Other functions as assigned.

QUALIFICATIONS

The following qualifications are required unless otherwise noted:

  • Minimum of 3 years work experience as a Legal Billing Specialist using billing software (prior experience with Rippe & Kingston a plus);
  • High school diploma or equivalent required, Bachelor’s degree preferred;
  • Hands-on familiarity with electronic billing (ledes) and the submission of invoices to e- billing portals;
  • Strong communication skills (written and verbal) with the ability to work effectively with a diverse team of attorneys and staff;
  • High organizational and time management skills with the ability to multi-task , work independently, and pay attention to details;
  • Strong technology skills including MS office , PDF, and an ability to leverage technology in work processes;
  • Demonstrated ability to maintain high ethical standards and strict confidentiality of all information that the employee may receive as a result of her or his role;
  • Demonstrated ability to maintain and update skills as required by the position;
  • Demonstrated ability to organize and prioritize numerous tasks and complete them under time constraints and within budget; and
  • Interpersonal skills necessary to communicate in person and by phone with a diverse group of attorneys, staff and vendors to provide information with courtesy and tact.

ESSENTIAL FUNCTIONS

The position’s essential functions include but are not limited to:

  • Develop and implement HR policies to assure compliance with federal, state and local laws, and review and revise current policies in order to maintain compliance;
  • Work closely with HR team and directors to ensure that policies and procedures are effective for the Firm’s needs and consistently applied;
  • Work closely with Firm’s General Counsel on internal investigations, progressive discipline plans and terminations;
  • Provide guidance to the HR team on the implementation and administration of benefit plans, policies, and procedures to ensure compliance with Firm plans and federal, state and local laws;
  • Prepare HR annual budget as well as long term fiscal plans;
  • Direct the development, implementation and adherence to budgets and systems to achieve operating and financial objectives;
  • Work with Firm’s Chief Operating Officer, Principals, Practice Group leaders, Directors and Managers to proactively assess and address personnel issues and determine course of action;
  • Provide coaching and counseling;
