As our Business/Legal Operations Analyst you’ll be involved in critical aspects of the Firm and utilize a broad range of financial, process and communication skills.  We are looking for an ambitious and innovative individual who is organized, process driven and has a great attention to detail!  As a Business/Legal Operations Analyst you will partner with executives and teams across multiple departments to drive ideas that improve the way we function and operate throughout the Firm; take charge of data management, process optimization, and project management of special projects.  You will assist with departmental financial management and cross-functional alignment with company departments such as Finance, Human Resources, Technology and Administration.

JOB SUMMARY

The Legal Billing Specialist will have overall responsibility for performing full-cycle billing functions and will be expected to provide outstanding service to the attorneys assigned to him/her, clients and others in the Firm. ESSENTIAL FUNCTIONS

The position’s essential functions include but are not limited to:

  • Generate monthly pre-bills and draft bills for attorney review;
  • Make edits and revisions based upon attorney requests and in compliance with client billing guidelines and client contracts;
  • Submit invoices in different e-billing portals with strong understanding of the function of each e-billing portal;
  • Prepare final bills, cover sheets, certification, and ensure the distribution of the bills to the client via regular mail, email or e-bill;
  • Provide supporting copy of expense backup to accompany invoices, including preparing large vendor invoices for disbursements only;
  • Assist teammates on billing during high-peak period, coordinate with accounting department to resolve any billing issues;
  • Maintain and update Client Billing Information Sheets, Budget Tracking Spreadsheet, and update client billing information in accounting system;
  • Accurately respond to Client/Matter billing inquiries in a timely manner;
  • Maintain accurate and up to date matter budgets and matter status reports in compliance with client billing guidelines;
  • Communicate closely with billing attorney and/or client regarding outstanding AR balances; and assist with client collections as needed;

JOB SUMMARY

The Litigation Legal Secretary is responsible for providing administrative support to attorneys on a day-to-day basis, as well as working closely with clients and other team members to ensure effective and timely attention to important legal matters.

ESSENTIAL FUNCTIONS

The position’s essential functions include but are not limited to the following:

  • Draft, review and revise legal and non-legal documents including correspondence and memoranda, pleadings, PowerPoint presentations, budgets, etc.;
  • Format court pleadings according to applicable court rules and generate tables of authorities and tables of contents using Firm software;
  • Creating shell documents for various pleadings needed by attorneys;
  • Demonstrate understanding of, and facility with, local rules of court, municipal, state and federal rules of procedure;
  • File documents with courts and administrative bodies, including electronic filing where applicable;
  • Arrange for service of pleadings and subpoenas;
  • Assist with preparation for and scheduling of meetings, teleconferences, conferences and travel;
  • Organize documents, and prepare binders and files to house relevant legal and non-legal materials;
  • Review incoming mail and route to attorneys, the Firm’s Calendaring Department, and others;
  • Maintain electronic and physical case files;
  • Demonstrate understanding of municipal law documents, including staff reports, resolutions, ordinances, agendas and notices;
  • Partner with Firm’s Records Group to create, review and maintain electronic and physical case files;
  • Assist with tracking and management of various projects;
  • Maintain shared office calendars and individual attorney/director calendars in Outlook, partnering with the Firm’s Calendar Group when necessary;
  • Demonstrate understanding of calendaring practices;
  • Enter attorneys’ billable time as requested according to Firm billing policies and coordinate with Firm’s billing personnel to facilitate attorneys’ timely review of monthly billing statements;
  • Proofread documents for spelling, grammar, punctuation and formatting errors;
  • Prepare check requests and coordinate payment to vendors when necessary;
  • Prepare expense reports and book travel arrangements;
  • Answer phones for attorneys/directors, direct incoming phone calls and greet clients and guests;
  • Regular, reliable and punctual on-site attendance;
  • Back up secretaries during planned and unplanned absences;
  • Take direction and apply corrections to future revisions;
  • Partner with attorneys to proactively manage their business development activities;
  • Maintain composure and work efficiently and accurately during highly stressful circumstances;
  • Demonstrate excellent customer service;
  • Build relationships with key staff in client offices, including periodically traveling to client sites;
  • Work cordially, cooperatively and productively with Firm employees; and
  • Work overtime as needed to complete essential functions.

QUALIFICATIONS

The following qualifications are required unless otherwise noted:

  • High school diploma required; Bachelor’s degree or paralegal certificate preferred;
  • Minimum of five years of legal secretary/legal assistant experience;
  • Prior litigation experience in California state and federal court is required; appellate experience is preferred;
  • Superior customer service skills;
  • Strong organizational skills and ability to contribute to streamlining processes;
  • Accuracy in grammar, spelling and punctuation;
  • Ability to work well under pressure and multi-task in a fast-paced, deadline-driven environment;
  • Strong attention to detail;
  • Pro-active self-starter with ability to work independently, as well as in a team environment;
  • Experience using Microsoft Office (experience using Office 2016 Suite is preferred); and
  • Prior experience with iManage, Best Authority, time and billing systems, and Adobe Professional is preferred.

ABOUT THE POSITION

Meyers Nave is looking for a California-admitted litigator to join its Construction and Facilities Group (CFG).  If you join us, you will represent mostly public and private owners undertaking major infrastructure improvements.  Cases and assignments will include project planning, counseling and litigation of claims and disputes with contractors and design professionals. Your cases will be complicated, involve substantial amounts-in-controversy and complex deposition practice.  You will contribute to strategic decisions, interact directly with clients and examine witnesses at trial.

Experience with construction or contract litigation is helpful, but not essential. Our preferred candidate is someone who has a passion for practicing law, who appreciates the collegiality and support that comes with firm practice and who has the desire to invest in long-term personal and professional development.  Our practice is growing and we are looking to develop the next generation of successful infrastructure and construction lawyers.

A background in or significant experience with construction or contract litigation is helpful, but not essential.  More important is the appetite for complexity, curiosity, skepticism, tenacity, and the passion to continually improve your legal skills. We will expect you to delve into voluminous project records to unravel the truth, synthesize murky jurisprudence, and to write precisely, concisely, and persuasively.
