ABOUT THE POSITION

The Labor & Employment Practice Group Administrator provides daily operational support to the Practice Group Leader (PGL) by implementing strategic initiatives and oversees daily operations.

ESSENTIAL FUNCTIONS

The position’s essential functions include but are not limited to:

  • Monitor and assist with implementing the Labor & Employment Practice Group strategic plan.
  • Assist practice group leader with addressing timekeeper productivity issues, workload management needs and staffing plans.
  • Coordinate with practice group leader to develop agendas for regular practice group meetings and help facilitate meetings.
  • Monitor practice group financial performance by reviewing monthly financial reports and providing analysis to practice group leader in preparation for practice group and firm management committee meetings.
  • Review pre-bills to ensure client contracts are being followed and review budgets for compliance with same, obtaining budget increases and overall contract management when requested/required.
  • Ensure appropriate processes are followed for management of calendaring, conflicts, new matters, and billing procedures.
  • Coordinate and ensure regular and consistent internal practice-focused communications by drafting internal communications and facilitating information delivery to practice group members and decision-makers.
  • Ensure that Labor & Employment Practice Group is receiving adequate support across all service area, including finance, business development, professional development, legal recruiting, library, practice support and Information Technology.
  • Partner with Marketing Department on strategic initiatives and ensure alignment of business development matches marketing resources.
  • Collaborate with IT Department to support the practice group’s technology, research and intake needs.
  • Participate in firm initiatives under the direction of the Director of Administration, as needed.
  • Manage workflow among paralegals and secretaries within practice group.
  • Provide daily administrative support and oversee requests for paralegal or LPA support, which may include overseeing preparation of legal documents, pleadings and correspondence, legal research, document searches, and attending  administrative meetings as requested.
  • Work with Practice Group Leader and Director of Administration in identifying training needs by evaluating strengths and weaknesses of staff, develop or oversee the production of training handouts, instructional materials and manuals, and conduct training courses.   Stay abreast of new trends and tools used in law firms.
  • Travel to other Meyers Nave offices on as-needed basis.
  • Work extended hours as needed.
  • Attend work on-site on a regular, punctual and reliable schedule (core days and as required by work demands).
  • Manage multiple problems and projects at once.

The following qualifications are required:

  • A four-year degree from an accredited university or college or equivalent work experience;

ABOUT THE POSITION

The Office Services/Facilities Assistant role requires strong customer service skills and ability to maintain positive working relationships with clients, and personnel.  This position reports to the Operations Manager. Prior experience in a legal, or professional, environment is preferred but not required.

ESSENTIAL FUNCTIONS

The position’s essential functions include but are not limited to:

  • Provide mailroom services, including sorting, distributing, collecting and metering mail and parcels on an accurate and timely basis;
  • Produce copying and printing, faxing and scanning in accordance with written or verbal requests;
  • Processes associated with the management and identification of electronic and physical documents (records). Includes the adherence to established naming and organizational protocols and procedures to facilitate future retrieval.
  • Inspect and ensure all rooms are stocked with appropriate supplies and continuously ready for use;
  • Assist with the delivery and set-up of catering needs for meetings;
  • Prepare office/workstation for new hires, and assist with IT equipment set-up;
  • Coordinate service calls for mail/copy room equipment as needed;
  • Monitor and maintain general supply levels, restock, and coordinate reordering;
  • Maintain organization and cleanliness of shared office spaces, such as copy rooms, file rooms and kitchen areas;
  • Organize and distribute kitchen/coffee area supplies;
  • Assist as a back-up in reception, greeting clients, answering in-coming calls, scheduling of conference rooms;
  • Other functions as assigned.

QUALIFICATIONS

The following qualifications are required:

  • High School diploma or equivalent;
  • Ability to lift up to 30 lbs. of office-related equipment and supplies;
  • Ability to perform tasks in a timely manner with a high degree of accuracy and attention to detail;
  • Ability to prioritize workload;
  • Demonstrated ability to maintain high ethical standards and strict confidentiality of all information the employee may receive in the course of employment;

  • Oversees the reporting and funding for third party vendors (i.e. Alliant, Newport Group, BEW, etc.)
  • Engages in special projects including payroll integrations, testing for system upgrades, annual merit and bonus processing, year-end and W-2 processing, company acquisitions, mergers and reductions in workforce.
  • Works with state/national tax authorities to comply with all reporting requirements and ensures Payroll Taxes are paid and reported to the appropriate jurisdictions in a timely manner.
  • Prepare annual insurance renewal applications for all Meyers Nave insurance policies.
  • Support annual budget process including data entry, verification, proofreading and production of all budget materials.

Meyers Nave is recruiting for a Legal Billing Specialist. This is a nonexempt position reporting to the Billing and Collections Supervisor and is located in the Firm’s Oakland office.

JOB SUMMARY

The Legal Billing Specialist will have overall responsibility for performing full-cycle billing functions and will be expected to provide outstanding service to the attorneys assigned to him/her, clients and others in the Firm. ESSENTIAL FUNCTIONS

The position’s essential functions include but are not limited to:

  • Generate monthly pre-bills and draft bills for attorney review;
  • Make edits and revisions based upon attorney requests and in compliance with client billing guidelines and client contracts;
  • Submit invoices in different e-billing portals with strong understanding of the function of each e-billing portal;
  • Prepare final bills, cover sheets, certification, and ensure the distribution of the bills to the client via regular mail, email or e-bill;
  • Provide supporting copy of expense backup to accompany invoices, including preparing large vendor invoices for disbursements only;
  • Assist teammates on billing during high-peak period, coordinate with accounting department to resolve any billing issues;
  • Maintain and update Client Billing Information Sheets, Budget Tracking Spreadsheet, and update client billing information in accounting system;
  • Accurately respond to Client/Matter billing inquiries in a timely manner;
  • Maintain accurate and up to date matter budgets and matter status reports in compliance with client billing guidelines;
  • Communicate closely with billing attorney and/or client regarding outstanding AR balances; and assist with client collections as needed;
  • Backup daily cash deposit and post cash receipts, scan checks and backup documents;
  • Work cordially, cooperatively, and productively with all firm employees;
  • Attend work on-site on a regular, punctual and reliable schedule;
  • Manage multiple problems and projects at once;
  • Demonstrate excellent customer service;
  • Maintain composure and work efficiently and accurately during high-energy situations involving frequently changing circumstances;
  • Work extended hours as needed; and
  • Other functions as assigned.

  • Minimum of 3 years work experience as a Legal Billing Specialist using billing software (prior experience with Rippe & Kingston a plus);

  • Hands-on familiarity with electronic billing (ledes) and the submission of invoices to e- billing portals;
  • Strong communication skills (written and verbal) with the ability to work effectively with a diverse team of attorneys and staff;
