ABOUT THE POSITION

The APA role requires strong customer service skills and ability to maintain positive working relationships with clients, and personnel.  This position reports to the Operations Manager. Prior experience in a legal, or professional, environment is preferred but not required.

ESSENTIAL FUNCTIONS

The position’s essential functions include but are not limited to:

  • Maintain organization and cleanliness of shared office spaces (conference spaces, copy rooms, file rooms, kitchen areas), ensuring all rooms are stocked and continuously ready for use;
  • Communicate with building management for service calls, parking, deliveries; and, with all vendors for delivery and service calls;
  • Planning, coordinating and ordering for office events (e.g., happy hours, meals and in-office events and meetings);
  • Prepare office/workstation for new hires, and assist with IT equipment set-up;
  • Assist with preparation for and scheduling of meetings, teleconferences, conferences and travel;
  • Organize documents, and prepare binders and files to house relevant legal and non-legal materials;
  • Review incoming mail and route to attorneys, the Firm’s Calendaring Department, and others; assist as a back-up in reception, greeting clients, answering in-coming calls, scheduling of conference rooms;
  • Partner with Firm’s Records Dept. to create, review and maintain electronic and physical case files, including supporting the firm’s “paper lite” initiative, setting up files and binders;
  • Maintain shared office calendars and individual attorney/director calendars in Outlook, partnering with the Firm’s Docketing Dept., when necessary;
  • Enter attorneys’ billable time, as requested, coordinating with the Billing Dept. to facilitate attorneys’ timely review of monthly billing statements;
  • Prepare check requests, expense reports and book travel arrangements, coordinating payment to vendors when necessary;
  • Other functions as assigned.

QUALIFICATIONS

The following qualifications are required:

  • High School diploma or equivalent;
  • Interpersonal skills necessary to communicate (in person, by phone and in writing) with a diverse group of attorneys, non-attorney employees and vendors with courtesy and professionalism.
  • Internet savvy with general knowledge of Microsoft Office (Word, Outlook, Excel) is required;

About the Position

In addition, the following experience is advantageous: ADA/FEHA compliance and disability accommodation; labor negotiations, grievances and arbitrations, and administrative hearings and appeals.

The salary range for this California-based role is $160,000 – $225,000, and represents the firm’s good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will depend upon a number of factors, including but not limited to, the candidate’s years of experience, qualifications, skill set and office location.   • Provide mailroom services, including sorting, distributing, collecting and metering mail and parcels on an accurate and timely basis;
  • Produce copying and printing, faxing and scanning in accordance with written or verbal requests;
  • Processes associated with the management and identification of electronic and physical documents (records). Includes the adherence to established naming and organizational protocols and procedures to facilitate future retrieval.
  • Inspect and ensure all rooms are stocked with appropriate supplies and continuously ready for use;
  • Assist with the delivery and set-up of catering needs for meetings;
  • Prepare office/workstation for new hires, and assist with IT equipment set-up;
  • Coordinate service calls for mail/copy room equipment as needed;

ABOUT THE POSITION

The Accounting team at Meyers Nave partners with firm leadership and staff to ensure efficient operational execution of all accounting processes, in service of the firm’s financial and strategic goals. The Payroll and Accounts Payable Coordinator will collaborate with the Director of Finance and other team members in processing and performing payroll and accounts payable functions. The successful candidate will be committed to quality, customer service, and teamwork, and be able to maintain composure and produce accurate work product in a fast-paced environment.

This position will be based in Meyers Nave’s offices in downtown Oakland, CA. We initially expect this role to be based 100% onsite for approximately six months, to facilitate learning and collaboration with existing members of the Finance team. After this initial period, the position can transition to a hybrid schedule, with at least three days in office each week.

RESPONSIBILITIES

Payroll:

  • Process semimonthly payroll to ensure pay is accurately calculated and proper deductions are made.
  • Prepare and verify statements of earnings for employees, indicating gross and net salaries and deductions such as taxes, SDI, garnishments and other third party wage assignments. Maintains open communication with Human Resources.
  • Process employee timecards, ensuring information is accurate and complete. Review paid time off accruals.
  • Promptly and accurately capture changes to employee status that affect tax withholdings, benefit deductions, and time off accruals. Review benefit deductions for accuracy on a monthly basis.
  • Maintain confidentiality regarding employee compensation, and when collaborating with HR on confidential matters pertaining to employees departures or status changes.

Accounts Payable:

  • Process accounts payable daily. Reviews and pay vendor invoices, setting up new vendors as necessary.
  • Review and reconcile monthly expense reports and credit card statements from all attorneys and staff. Audit expenses in compliance with firm policies.
  • Draw checks for payments to vendors and obtain signatures. Provides trust checks as needed.
  • Remain calm and focused during month end or annual deadlines while producing accurate work product.
  • Other duties as assigned.

QUALIFICATIONS

  • A four-year degree preferred from an accredited university or college, or equivalent work experience.
  • Three (3) or more years of progressively responsible work experience in both areas of payroll and accounts payable (experience in a law firm or professional services firm is preferred).
  • Experience with SurePoint preferred.
  • Demonstrated ability to maintain high ethical standards and strict confidentiality when reviewing or processing sensitive information.
  • Demonstrated ability to maintain and update skills relevant to the position.
