Working under the Director of Attorney Recruitment & Professional Development (“Director”), the Legal Recruiting & Professional Development Coordinator (“Coordinator”) is responsible for coordinating the talent acquisition efforts to attract and hire top legal and administrative professionals for the Firm.  This role requires a deep understanding of the legal industry, excellent interpersonal skills, and the ability to develop and implement effective recruiting strategies tailored to the competitive California legal market. ESSENTIAL FUNCTIONS

The position’s essential functions include but are not limited to:

Recruiting Responsibilities:

  • Work closely with the Director to implement effective recruiting strategies and maintain recruiting records, including candidate application materials.
  • Schedule and execute applicant interviews.
  • Manage due diligence process for attorney hires to ensure internal conflicts are completed promptly.
  • Upon offer acceptance, work with Human Resources Department to ensure background and reference checks are run.

Professional Development Responsibilities:

  • Provide support on Inclusion and Equity communications, programming, and events.
  • Assist in calendaring meetings, programming and events, including team meetings, professional development programming/trainings, and other committee meetings relating to professional development initiatives.
  • Provide support for Firmwide projects as assigned by the Director related to attorney professional development and training.
  • Other key responsibilities will include maintaining candidate profiles in our database, coordinating interview schedules, collecting and distributing candidate feedback, managing recruiting files and databases, generating and disseminating reports on recruiting efforts, and undertaking other administrative and strategic projects as requested.

Miscellaneous

  • Provide administrative support to other departments as requested/warranted (e.g., Admin/Operations, Human Resources, and Marketing).

ESSENTIAL FUNCTIONS

ADMINISTRATIVE

  • Reception, greeting clients, answering in-coming calls (as a back-up), review incoming mail and route to attorneys, the Docketing Department, and others; scheduling of conference rooms;

JOB SUMMARY

This position will support the firm’s Trial and Litigation Group, which includes a robust litigation practice focused on complex crisis litigation in the areas of constitutional law, wildfire litigation, COVID-19 litigation, civil rights claims in the land use context, First Amendment claims, takings, and class action litigation, as well as Eminent Domain.  The Group is actively engaged in all phases of litigation in both federal and state court from initial pleadings through discovery, dispositive motion practice, trial, and appeal.  This position is primarily on-site with a remote component.

Our Litigation Paralegals work closely with attorneys and team members to proactively oversee case management from inception through and after trial or settlement; draft, review, and revise legal documents; maintain case files and update discovery logs and indices; support and manage document productions; assist with deposition and hearing preparation, including identifying and gathering exhibit documents and creating witness outlines; cite-check briefs, including both legal and factual citations; assist with document review and coordinate with the Litigation Support Group for back-end database management using iPro, or other recognized review platforms.

In addition, you will satisfy an annual 1575 billable hour budget; work extended hours as needed; travel as required for case support; demonstrate excellent customer support; and demonstrate the ability to maintain a reliable and punctual schedule.

REQUIRED QUALIFICATIONS

  • Ability to work and bill as a paralegal under Cal. Bus. & Prof. Code section 6450.
  • A bachelor’s degree.
  • Minimum of five years of recent experience working as a litigation paralegal with a California law firm or in-house legal department.
  • Proficiency with latest Microsoft Office Suite and/or Office 365, with a heavy emphasis on Microsoft Excel’s higher-end functions (e.g., PivotTables, VLOOKUP, INDEX/MATCH, and Data Tables).
  • Mastery managing document storage, retrieval, production, and handling of eDiscovery processes and use of eDiscovery platforms and Adobe Acrobat Pro.

  • Timely respond to questions and inquiries from internal and external clients;
  • Prepare daily deposit and post cash receipts which includes scanning checks and backup documents for online filing;
  • Assist team members with their client billing lists;
  • Manage and prioritize multiple projects simultaneously;

QUALIFICATIONS

The following qualifications are required unless otherwise noted:

  • Minimum of 3 years’ work experience as a Legal Billing Specialist using billing software;
  • Must have strong technology skills including MS Office Suite (Excel) and an ability to leverage technology to enhance processes;
  • Ability to maintain high ethical standards and strict confidentiality of all information that the employee may receive as a result of their role;
  • Desire to maintain and update skills as required by the position;

JOB SUMMARY

Under the direction of the Accounting Manager, the payroll/retirement benefits specialist is charged with assisting the accounting team as needed, ensuring timely and accurate payroll processing, as well as seamless administration of the firm’s 401(K)/profit sharing plans.

ESSENTIAL FUNCTIONS

The position’s essential functions include but are not limited to the following:

Payroll

  • Perform semi-monthly payroll and out of cycle payroll using Ceridian Dayforce
  • Processes wage garnishments, pay levies, and other involuntary court-ordered payments in a timely manner and assist employees with general process questions.
  • Review timesheets for correctness before payroll transactions.
  • Update and maintain employee records and process termination checks.
  • Maintaining accurate records of payroll documentation and transactions.
  • Resolves discrepancies with payroll and/or benefit information and/or documentation (e.g., payroll, benefit provider/s, withholding versus W4, salary status, late hires, leaves of absence, separating employees, etc.) for the purpose of ensuring accuracy of records and employee payments. Responding to payroll-related inquiries and resolving concerns.
  • Maintain payroll records and follow established company policies to ensure compliance with internal control protocols
  • Provide monthly various payroll reports to the Accounting Manager and CFO

Retirement Benefits

  • Conducts retirement and benefits-related calculations and analysis including repurchase of service, withdrawal of contributions, and deferred plan distribution.
  • Acquires and distributes relevant information and documentation to plan participants and beneficiaries.
  • Develops and maintains records of participants and beneficiaries including active, deferred, retired, and separated members.
  • Serves as a liaison between beneficiaries and participants and the plan administrator, handling or facilitating requests for contribution adjustments, refunds, and other administrative changes.
  • Coordinates with actuaries, plan administrators, accountants, and other professionals to provide verified and compiled data for administration of benefits.
  • Ensures retirement plans are administered in accordance with Meyers Nave, state, and federal guidelines and regulations.
  • Maintains knowledge of legal and regulatory changes, trends, and other developments affecting retirement benefits.

Performs other duties as assigned.

QUALIFICATIONS

The following qualifications are required:

  • Excellent interpersonal skills with ability to clearly explain retirement plan options in easily understood terms.
  • Thorough understanding of laws, regulations, and agency interpretations or opinions related to retirement benefits.
  • Proficient with Microsoft Office Suite or related software.
  • Working knowledge of California HR laws pertaining to payroll and regulations.
  • Working knowledge of basic payroll practices and accounting principles.
  • Experience working with MS Office and payroll software (e.g. Dayforce, UKG, ADP).
  • Must possess good analytical, problem solving and communication skills, both verbal and written.
  • Demonstrate strong business ethics and ability to maintain confidentiality of sensitive data.
  • Ability to work autonomously and independently while meeting deadlines through proper time-management.

Education/Experience

  • Degree in accounting, business, or a related field preferred.
  • Minimum of 7 years related work experience in payroll, retirement, insurance benefits, financial planning, or actuarial services required.
